What ATS Platforms Prioritize in 2025
Modern ATS tools have moved well beyond simple keyword matching. Platforms like Workday, Greenhouse, and iCIMS now use contextual parsing, meaning they evaluate how keywords are used, not just whether they appear. A keyword buried in an unrelated sentence carries less weight than one used in a quantified achievement.
Semantic matching has also become more common. Systems can now recognize synonyms and related terms, so "revenue growth" and "sales increase" may be treated as equivalent. However, this does not mean you should avoid exact phrases — exact matches still score higher than semantic equivalents in most systems.
Formatting Rules That Still Matter
- Use standard section headers. "Work Experience," "Education," and "Skills" parse reliably. Creative headers like "Where I've Been" confuse parsers and cause data to be misclassified.
- Avoid tables and text boxes. Most ATS systems still cannot reliably extract text from these elements. Use plain columns or simple formatting instead.
- Submit as a .docx file when given the choice. PDF parsing has improved but remains inconsistent across platforms. A clean .docx is the safest format.
- Do not use headers or footers for contact information. Many parsers skip these regions entirely, leaving your application without a phone number or email address.
- Use standard fonts. Arial, Calibri, and Times New Roman parse cleanly. Decorative fonts can produce garbled text in the parsed output.
Keyword Strategy for Q4 Applications
For each application, copy the job description into a text document and identify the top eight to ten skills and qualifications mentioned. Then audit your resume to ensure each of those terms appears at least once in a relevant context. Do not stuff keywords — integrate them naturally into your experience descriptions and summary.
Pay special attention to certifications, software names, and industry-specific acronyms. These are often exact-match fields in ATS databases, meaning a slight variation in spelling or abbreviation can cause a mismatch.
